Privacy Policy

1. Introduction
QuizTime Labs LLC ("we," "our," or "us") is committed to protecting the privacy of our users, especially children. This Privacy Policy explains how we collect, use, and safeguard information when you use our applications and web services.
By using QuizTime Manager, you agree to the collection and use of information in accordance with this policy. If you do not agree with our policies and practices, please do not use our services.
2. Information We Collect
Account Information
- Parent email address and password (for authentication)
- Child profile names, ages, and grade levels
- Timezone preferences
Usage Data
- Quiz completion records and scores
- Screen time usage data (e.g., via Apple Screen Time API)
- Device registration identifiers
- Assignment progress and completion timestamps
- Photos of completed worksheets that you submit for grading
- AI Tutor conversations: the help messages your child types while working on an assignment, the tutor's responses, and related question context (such as the current answer and number of attempts)
- Usage credit balances and a ledger of credit grants and AI feature usage (used to meter AI-powered features)
Technical Data
- Device type and operating system version
- App version
- Crash logs and performance data (anonymized)
Module Builder Inputs
- Free-text prompts describing the module you want built
- Optional structured fields (subject, grade level, question count, difficulty, tags)
- Uploaded reference files (photos and PDFs) you attach to a build request
3. How We Use Your Information
We use the information we collect for the following purposes:
- Account Management: To create and manage your parent account using your email and password.
- Personalized Quizzes: To tailor quiz content based on child age and grade level.
- Screen Time Enforcement: To monitor and manage device usage using device identifiers and usage data.
- Progress Tracking: To display quiz scores and completion data on the parent dashboard.
- App Improvement: To analyze anonymized crash and performance data to improve our services.
- AI-Powered Module Builder: To send your prompt, structured fields, and attachments to our AI provider to generate the interactive module you requested (see Section 7).
- AI Worksheet Grading: To send worksheet photos you submit to our AI provider so it can read and grade the answers (see Section 7).
- AI Tutor: To send your child's help request and the related question context to our AI provider so it can return a hint or explanation, and to show you the conversation on the parent dashboard (see Section 7).
- Credit Accounting: To meter your use of AI-powered features against your credit balance and show you your usage history on the Plan & Credits page.
4. Third-Party Data Sharing Commitment
WE WILL NEVER KNOWINGLY SHARE, SELL, RENT, OR TRADE YOUR PERSONAL INFORMATION OR YOUR CHILDREN'S INFORMATION WITH ANY THIRD-PARTY SERVICES FOR ANY PURPOSE.
The only exception is information submitted to an AI-powered feature — Module Builder prompts and attachments, worksheet photos submitted for grading, and AI Tutor help requests — which is transmitted to our AI provider to deliver the feature (see Section 7).
This includes, but is not limited to:
- Marketing or advertising purposes
- Data analytics or profiling services
- Data brokers or resellers
- Social media platforms
- Any commercial third parties
Limited Exceptions
The only circumstances under which we may disclose information are:
- Legal Requirements: When required by law, such as in response to a court order, subpoena, or other legal process.
- Safety: To protect the safety of users or the public in emergency situations.
- Service Providers: Infrastructure providers necessary to operate the service (such as hosting and database services) who are contractually bound to confidentiality and prohibited from using data for any other purpose.
- AI Service Providers: When an AI-powered feature is used, the content submitted (Module Builder prompts and attachments, worksheet photos submitted for grading, or AI Tutor help requests) is transmitted to our AI provider to deliver that feature, as described in Section 7.
- Content You Choose to Share: If you explicitly share a module to the Community Library, its content becomes visible to other QuizTime Manager users, as described in Section 8.
5. Children's Privacy (COPPA Compliance)
QuizTime Manager is designed for use by families with children ages 4-16. We comply with the Children's Online Privacy Protection Act (COPPA) and take special precautions to protect children's privacy. All child accounts, regardless of age, are created and managed by a parent or guardian; children never register themselves. Our full Children's Privacy (COPPA) Policy describes our practices for children under 13 in detail. In summary:
- We do not collect personal information directly from children under 13 without parental consent.
- All child accounts are created and managed by parents or guardians.
- Parents have full access to view, modify, or delete their child's data.
- We do not display advertising to children.
- We do not use children's data for purposes unrelated to the service.
- Parents can request deletion of their child's data at any time.
6. Apple Screen Time API Usage
Our iOS app uses Apple's Screen Time API, including the Family Controls, Device Activity, and Managed Settings frameworks, to provide screen time management features.
What We Use It For
- Monitor device usage duration
- Display shield screens when quiz completion is required
- Enforce screen time limits set by parents
How This Data Is Handled
- Processed locally on the device when possible
- Transmitted to our servers only when necessary for parent dashboard features
- Never shared with third parties
- Deleted upon account deletion
7. AI-Powered Features (Module Builder, Worksheet Grading & AI Tutor)
QuizTime Manager offers three features that use a third-party artificial intelligence ("AI") service: the Module Builder, AI worksheet grading, and the AI Tutor. This section explains what information is sent to that AI service and how you can control it.
Module Builder: What It Does
When you choose to use the Module Builder, you provide a free-text description (your "prompt") of the module you want, along with optional structured fields (subject, grade level, number of questions, difficulty, and tags). You may also attach up to three reference files — photographs or PDF documents (for example, a photo of a worksheet you want to transcribe). We send this input to our AI provider, which returns a generated interactive module that you can preview, edit, and assign to your children.
What Information Is Sent to the AI Provider
- Your prompt text — the natural-language description you type.
- Structured form fields — subject, grade level, question count, difficulty, and tags, if you provide them.
- Uploaded reference files — the contents of any photos or PDFs you attach (sent to the provider as image or document content).
- For "edit" requests — the current HTML, manifest, and configuration of the module you asked to update, used as base context.
Worksheet Grading: What It Does and What Is Sent
When you use the AI grading feature for worksheets, the photo you take of a completed worksheet is transmitted to our AI provider, which reads the handwritten answers and returns suggested grades for your review. Because worksheet photos show your child's written work, we recommend photographing only the work itself and avoiding pages that show your child's full name or other identifying details. This feature is optional — you can always grade worksheets manually.
AI Tutor: What It Does and What Is Sent
The AI Tutor lets a child who is stuck on a question in an assigned module ask for a hint. This is the one AI-powered feature your child interacts with directly. When your child sends a help request, we transmit to our AI provider: the message your child typed, the title of the module, the question being worked on, and question context such as the child's current answer and number of attempts. We do not send your child's name or profile information to the AI provider. Please teach your child not to type personal information (their name, school, address, etc.) into the tutor.
- Tutor responses are limited to short hints and explanations about the question at hand.
- Every tutor conversation is recorded and visible to you on the parent dashboard as part of the assignment attempt history.
- You can turn the tutor off for each child. The AI Tutor can be disabled on a per-child basis from the parent portal; when disabled, no tutor requests are sent to the AI provider for that child.
- Tutor conversations are retained and deleted on the same schedule as quiz history (see Section 10, Data Retention).
Who Receives It
We use a single, admin-configured AI provider at any given time. The current supported providers are Anthropic (Claude) and OpenAI or an OpenAI-compatible endpoint. The provider is engaged by QuizTime Labs (not by you) to process your request on our behalf.
How the Provider Uses Your Input
The AI provider processes your prompt and attachments to generate the module you requested. We select providers whose commercial/API offerings, as of the date of this policy, state that they do not use customer content to train their models. However, the provider's retention, security, and handling of submitted content are governed by the provider's own privacy policy and terms of service, which are outside our control and may change. We encourage you to review the provider's privacy policy:
Your Choices and Controls
- Opt-in only. The Module Builder is never used unless you actively choose it and submit a prompt. If you prefer not to use AI, you can assign modules from the Community Library instead (see Section 8).
- Review before sending. You see the prompt and attachments in the form before submitting. Do not include information you do not want sent to the AI provider.
- Avoid children's personal information. Because uploaded documents are transmitted to the AI provider, please do not attach photos or PDFs that contain your child's name, photo, or other identifying information. The Module Builder is operated by the parent/manager account; children do not use it directly.
- Deletion. You can delete generated modules and their underlying build records (including the stored prompt and attachments) at any time. See Section 11 (Your Rights).
How We Store Your Input
We retain your prompt, structured fields, and attachments on our servers as part of the build job record while the module exists and for a short period afterward (see Section 10, Data Retention). The AI provider may retain your submitted content separately in accordance with its own policies.
8. Community Library and Shared Modules
Modules you create are private to your family by default. Nothing you build is visible to other users unless you explicitly share it.
- Sharing is opt-in. Sharing a module to the Community Library is a separate, explicit action with its own confirmation step. Once shared, the module's full content (questions, text, and images) is visible to all QuizTime Manager users, who can assign it to their own children.
- Your identity is not displayed. Shared modules do not show your name, email address, or your children's names to other users.
- Do not include personal information in shared modules. Before you share, we run an automated check for your children's first names in the module content and warn you about matches. This check is a best-effort aid, not a guarantee — please review the module yourself and remove any names, photos, or other personal details before sharing.
- Unsharing. You can stop sharing a module at any time, which removes it from the Community Library. Assignments other families created while it was shared may continue to work.
9. Data Security
We implement industry-standard security measures to protect your information:
- All data transmission uses TLS 1.2+ encryption.
- Passwords are hashed using the bcrypt algorithm.
- Database access is restricted and logged.
- Regular security audits are performed.
- No sensitive data is stored in plain text.
- Our services are hosted on secure, SOC 2 compliant servers.
10. Data Retention
We retain your data according to the following schedule:
- Active Accounts: Data is retained while your account is active.
- Inactive Accounts: Data is deleted after 24 months of inactivity.
- Deleted Accounts: All data is permanently deleted within 30 days of account deletion.
- Quiz History: Retained for 12 months for progress tracking purposes.
- Crash Logs: Automatically deleted after 90 days.
- Worksheet Photos: Retained while your account is active so you can review past submissions and grades; permanently deleted within 30 days of account deletion. Note: photos submitted for AI grading may be retained separately by the AI provider under its own policies.
- Credit and Usage Records: Credit ledger entries and AI usage records are retained for accounting and dispute-resolution purposes while your account is active and for up to 12 months after account deletion, in de-identified form where possible.
- Module Builder Records: The prompt, structured fields, attachments, and generated draft for a Module Builder build are retained while the resulting module exists and for up to 90 days after the module or your account is deleted, after which they are permanently removed. Note: the AI provider may retain your submitted content separately under its own policies.
11. Your Rights
You have the following rights regarding your personal data:
- Access: View your data and your children's data at any time.
- Correct: Update or correct inaccurate information.
- Delete: Delete your account and all associated data.
- Export: Download your data in a portable format.
- Withdraw Consent: Withdraw your consent at any time.
- AI Inputs: View and delete the prompts and attachments you submitted to the Module Builder.

12. California Privacy Rights
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and the California Online Privacy Protection Act (CalOPPA).
Your CCPA Rights
California residents have the right to:
- Know: Request disclosure of the categories and specific pieces of personal information we have collected about you.
- Delete: Request deletion of your personal information, subject to certain exceptions.
- Opt-Out of Sale: Direct us not to sell your personal information. However, we do not sell personal information to third parties.
- Non-Discrimination: Not be discriminated against for exercising your CCPA rights.
Do Not Sell My Personal Information
QuizTime Manager does not sell, rent, or trade personal information of California residents (or any users) to third parties for monetary or other valuable consideration. Because we do not engage in such sales, there is no need to opt out.
California "Shine the Light" Law
Under California Civil Code Section 1798.83, California residents may request information regarding the disclosure of personal information to third parties for direct marketing purposes. As stated above, we do not disclose your personal information to third parties for their direct marketing purposes.
How to Exercise Your California Rights
To submit a request to know or delete, or to designate an authorized agent to make a request on your behalf, please contact us at support@quiztimemanager.com. We will verify your identity before processing your request by confirming your email address and account information.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you through:
- Email notification to registered account holders
- In-app notification
- Posted notice on our website
Your continued use of QuizTime Manager after receiving notification of changes constitutes your acceptance of the updated Privacy Policy.
